About The Telecom Spot
Who is The Telecom Spot?
We are a nationwide reseller of business-grade communication equipment, based in Austin, Texas. Since 2006 we have helped startups, growing SMBs, Fortune 500 companies, schools, healthcare providers, houses of worship, and government agencies deploy reliable voice, video, and paging.
What do you sell?
VoIP and IP desk phones, video conferencing systems (including Microsoft Teams and Zoom-certified rooms), IP paging and overhead solutions, business headsets, analog gateways and SBCs, and unified communications platforms such as 3CX, Grandstream, FreePBX, and PBXact — plus the network accessories that make those systems work.
Which brands do you carry?
Yealink, Poly (HP Poly), Grandstream, Sangoma, Logitech, Snom, Fanvil, Algo, CyberData, Viking Electronics, Ribbon EdgeMarc, and more. If you do not see a model on the site, call us — we can often source it.
Do you sell only to businesses?
Anyone can order. Most of our customers are businesses, VARs, MSPs, schools, and government offices, but smaller offices and individual purchasers are welcome.
Ordering & Payment
How do I place an order?
Shop online at thetelecomspot.com and check out with a credit card, or call 866-369-3394 / email sales@thetelecomspot.com for a quote. Logging in unlocks instant savings on many products. Corporate, education, and government buyers can also order with a purchase order after account approval.
What payment methods do you accept?
We accept major credit cards. By arrangement we also accept check, money order, and wire transfer (wires may include an additional fee). Payment is due before shipment unless you have approved net terms.
Can I order without a credit card?
Yes. Contact sales to pay by check, money order, or wire. Approved business, education, and government accounts may also pay by purchase order on net-30 terms.
Do you offer Net-30 or purchase-order terms?
Yes, for qualified corporate, education, and government accounts. Request a quote, complete our credit application, and send a signed PO to sales@thetelecomspot.com. Education and government accounts typically do not need bank references. Initial corporate net-30 orders generally need to be over $300. Large orders may require a deposit.
Can I get a quote or volume pricing?
Absolutely. Call 866-369-3394 or email sales@thetelecomspot.com with manufacturer part numbers (or a description), quantities, ship-to ZIP, and preferred shipping speed. We typically return quotes the same business day — often within a couple of hours. Volume and project discounts are available.
Why are logged-in prices lower?
Many products show a lower logged-in price. Create an account to unlock instant savings, faster checkout, and order history. You can opt out of marketing emails at any time by writing sales@thetelecomspot.com with the subject “remove.”
What if I forget my password?
Use the “Forgot password” link on the login page. We will email a reset link to the address on your account.
Do you charge sales tax?
We collect sales tax on shipments to states where we are required to do so, unless you provide a valid exemption certificate at the time of sale. Email certificates to sales@thetelecomspot.com or fax 972-334-9650. If we do not collect tax in your state, you may still owe use tax — check your state’s rules.
Shipping
How fast do you ship?
Most in-stock orders received by 3:00 p.m. Central Time ship the same business day. Typical processing is 24–48 hours after payment is verified. We do not process orders on weekends or holidays. If a delay is expected, a representative will contact you.
Do you offer free shipping?
Yes. Most orders of $500 or more qualify for free ground shipping within the contiguous United States. Expedited services and certain oversized or special-order items may be excluded.
Which carriers do you use?
We ship via UPS,FedEx, USPS ground and air services, including Next Day, 2-Day, 3-Day, and ground. We may substitute a comparable carrier when needed to get your order out on time.
How do I track my order?
You will receive an order confirmation email, then a second email with a tracking number once the package ships. You can also call 866-369-3394 with your order number.
Do you ship internationally?
Yes. International orders are welcome and are subject to additional handling, actual shipping rates, and any customs duties or taxes. The customer is responsible for duties, VAT, and brokerage. Contact sales before placing a large international order so we can quote landed cost accurately.
Can I choose a shipping method?
Yes. At checkout or when requesting a quote, specify Ground, 3-Day, 2-Day, Next Day, or Next Day AM. We will use the method you select unless inventory or carrier constraints require a change — in which case we will notify you.
Returns, Exchanges & Defective Items
What is your return policy?
Hardware return requests must be received within 30 days of the invoice date. You must obtain an RMA number first — we cannot accept returns without one. RMA numbers are valid for 14 days from issue. Return the product with all original packaging, documentation, and accessories. The customer pays return shipping and insurance. Shipping charges on the original order are not refundable.
Is there a restocking fee?
Often yes. Typical fees:
- Up to 15% restocking plus shipping for new, unopened product that can be resold as new
- Up to 25% plus shipping for opened or used product that can be resold as open-box
Incomplete, damaged, or non-compliant returns may be refused. Always confirm the fee when you request the RMA.
What cannot be returned?
Software, licenses, special-order products, and products or systems that have already been registered with the manufacturer are final sale and are not eligible for a refund.
What if my item arrives defective or DOA?
Contact us immediately. After we issue an RMA, you can choose:
- Standard replacement: we ship a replacement after we receive the defective unit (typically 1–2 days after receipt, sometimes longer).
- Advanced replacement: we ship first and charge your card, then credit you when the defective unit arrives and tests as defective.
If a returned unit tests as working, a $20 testing fee may apply. Some manufacturers require warranty claims after 30 days to go directly to them.
How do I start a return?
Call 866-369-3394 or email sales@thetelecomspot.com with your order number, item(s), and reason. We will issue an RMA if the request qualifies. Write the RMA number clearly on the outside of the box. Ship with a reputable, insured carrier and keep proof of delivery.
Warranty & Product Condition
What warranty do products include?
Most new products carry the manufacturer’s warranty (commonly one year or longer, depending on brand). The Telecom Spot also provides a 1-year warranty against product defects on equipment we sell, beginning on the ship date, unless the manufacturer’s policy supersedes it. Replacement parts and software do not carry additional TTS warranty. Manufacturer warranties are honored by the manufacturer.
What is not covered by warranty?
Warranty does not cover accident, abuse, misuse, neglect, unauthorized modification, tampered serial numbers or warranty stickers, fire, flood, lightning or other acts of nature, power-surge damage, or equipment not used on a dedicated, grounded outlet with surge protection. Physical damage and improper installation void coverage. Physically damaged product generally cannot be processed through manufacturer channels and may be returned to you at your expense.
What does “New” mean?
New product is unused, in the original manufacturer packaging, complete with original documentation and accessories.
What does “Like New” or refurbished mean?
Like-new / remanufactured product is restored to virtually new condition and fully tested. Phones typically have no cracked plastics, little to no discoloration, new line and handset cords, new designation strips, and replaced membranes where applicable. Systems, carriers, circuit packs, and processors are tested and defaulted to factory specifications.
Do you buy used or leftover phone systems?
Yes. We purchase out-of-service, discontinued, and defective equipment from major manufacturers including Nortel, Cisco, Panasonic, NEC, Toshiba, and many others. Email a list with quantities and condition to purchasing@thetelecomspot.com and we will respond with an offer as soon as possible.
Support, Installation & Services
Do you provide technical support?
Yes. We provide limited support for isolated feature and setup questions. Extensive installation, programming, or system-level support is scheduled by appointment and billed hourly ($75/hour). For platform-level support we also sell manufacturer support contracts.
Will you install my phone system?
We are a hardware and solutions reseller, not a national field-install company. We strongly recommend a qualified local technician. We can tell you what an installer will need in order to quote the job, and in some regions we can suggest partners we have worked with. Ask your sales representative when you buy.
Can I install the system myself?
Some customers do, especially on simpler SIP phones and cloud PBX deployments. We still recommend a qualified technician for on-premises PBX, paging, analog gateways, and multi-room video. Telecom installs require basic knowledge of networks, PoE, VLANs, and the platform you chose.
Can I lease a phone system?
Yes. We offer leasing through partner companies. Call 866-369-3394 and we will walk you through options and qualifications.
Do you help design conference rooms or paging systems?
Yes. Tell us room size, seating, platform (Zoom, Teams, 3CX, etc.), noise level, and goals. We typically return recommendations and a quote within one business day — no login required.
Do you offer hosted VoIP or SIP trunks?
We help customers choose between a cloud/hosted PBX (phones register to a provider data center; easiest to manage) and SIP trunking (keep your existing IP PBX and replace costly PRI/analog lines). Cloud terminology can be confusing — call us and we will map the right path for your site count, call volume, and IT resources.
Resellers, Schools & Government
Do you have a reseller / VAR / MSP program?
Yes. Resellers, integrators, VARs, MSPs, and volume buyers get access to volume and partner-level discounts, deep inventory, a dedicated representative, and priority (usually same-day) shipping. Visit our Reseller Partner Program page or email sales@thetelecomspot.com.
Do you work with education and government?
Yes. Schools, universities, and government agencies can request quotes and, after a simple application, order on net-30 with a purchase order. Start on our Corporate, Education, and Government Accounts page. We can provide Federal Tax ID, D-U-N-S, and remit-to details on request.
